SYSTEM DOCUMENTATION & REQUIREMENTS

What problem does it solve?

Inventory Optimizer prevents stockouts and overstock by turning inventory, usage history, lead times, and expiration risk into actionable reorder decisions.

Core Features & Use Cases

Par levels and reorder points: Calculates reorder triggers using average daily usage, lead time, variance buffer, and order cycle days.
ABC analysis for prioritization: Classifies items by cost and turnover so daily, weekly, and monthly reviews match item importance.
Waste and slow-mover detection: Flags items with low usage, high near-term expiry risk, or demand drops, and recommends promote/reduce/delist actions.
Supplier purchase order drafting: Generates a structured draft purchase order with order quantities and totals, then asks for user confirmation.
Recurring review scheduling: Recommends review cadence by item class to keep the system continuously calibrated.

Quick Start

Ask the assistant to run a full inventory review and generate a draft purchase order based on your current stock snapshot, usage data, supplier lead times, and any expiry information.

FAQPage Schema

How do I calculate reorder points and par levels for restaurant inventory?▼

Calculate reorder points and par levels by combining average daily usage, supplier lead time, variance buffer, and order cycle days. This prevents stockouts and overstock by triggering orders only when stock drops below the calculated threshold.

What is ABC classification and how does it help with inventory audits?▼

ABC classification prioritizes inventory by classifying items based on cost and turnover rate. It helps assign daily, weekly, and monthly review cadences so high-value or fast-moving items receive more frequent attention during audits.

How do I generate a purchase order based on current stock and usage history?▼

Generate a purchase order by inputting current stock, usage history, supplier lead times, and pricing details. The system calculates order quantities and outputs a structured draft PO with totals for confirmation before sending.

Can I detect slow-moving inventory and reduce food waste for perishables?▼

Detect slow-moving inventory and waste risk by analyzing usage history and expiration dates. The system flags items with low usage or near-term expiry risk and recommends promote, reduce, or delist actions to cut waste.

What data do I need to set up recurring inventory reviews for perishables and non-perishables?▼

Set up recurring inventory reviews by providing current stock levels, usage history, supplier lead time and variance, par/order cycle assumptions, and pricing details. This calibrates review cadence by item class across both perishables and non-perishables.

What is the best way to handle supplier lead time variance when planning stock orders?▼

Handle supplier lead time variance by incorporating it as a buffer into reorder point calculations. Applying variance buffers alongside average daily usage and order cycle days ensures adequate stock coverage despite delivery delays.
