System Documentation

What problem does it solve?

It helps you handle customer complaints end-to-end by turning an incoming complaint into a contextualized, tone-matched draft response plus a practical operational fix suggestion.

Core Features & Use Cases

  • Complaint intake and loading: Pulls the full complaint thread from Gmail or HubSpot using an optional email/thread or ticket ID, or lets you paste the complaint text when no connector data is available.
  • Context gathering and validation: Searches HubSpot for customer history and, when Paywhere is connected, cross-checks bank transactions to confirm whether payment likely occurred in the last 30 days.
  • Owner-approved response drafting: Produces a draft matched to severity and customer history without sending it automatically, then proposes whether to treat it as a pattern and what operational change to consider.
  • Use case: A support agent receives a complaint about an invoice dispute, quickly drafts a professional reply referencing the customer’s history and relevant payment timing, and recommends an operational change if similar complaints are recurring.

Quick Start

Run the handle-complaint skill by asking your assistant to resolve the latest unresolved complaint and produce a draft response and an operational fix suggestion.
